2. Hosting and Infrastructure
Self-Hosted LimeSurvey via Strato
We operate the LimeSurvey tool on a dedicated server instance provided by Strato AG (Otto-Ostrowski-Straße 43, 10249 Berlin, Germany) as part of our web hosting services.
All data entered or automatically collected during the use of this survey tool remains on these servers located in German data centers. It is not disclosed or transferred to LimeSurvey GmbH or any other unauthorized third parties.
Legal Basis:
The use of Strato as a hosting provider is based on Art. 6(1)(f) GDPR (legitimate interest in ensuring the secure, fast, and efficient provision of our online services).
Data Processing Agreement:
We have concluded a Data Processing Agreement (DPA) pursuant to Art. 28 GDPR with Strato AG. This agreement guarantees that the service provider processes user data strictly in accordance with our instructions and in compliance with EU data protection standards.
3. Data Collection When Using LimeSurvey
a) Automatically Collected Server Log Files
Every time the survey tool is accessed, the system (via the host Strato) automatically collects data and information from the computer system of the accessing device. The following data is stored in the server log files:
- IP address of the user (Note: Strato typically anonymizes IP addresses after a short period or stores them only in a truncated form)
- Date and time of access
- Browser type and version used
- The user's operating system
- The website from which the user's system reached our site (Referrer)
Purpose and Legal Basis:
The temporary storage of data and log files is necessary to deliver the website to the user's device and to ensure the security and stability of our IT systems. The legal basis for this is Art. 6(1)(f) GDPR.
b) Cookies Used by LimeSurvey
LimeSurvey uses technically necessary cookies to ensure the proper functioning of the survey (e.g., session control so that you can navigate forward and backward within a survey without losing your progress).
- These cookies are temporary (session cookies) and are automatically deleted when you close your browser.
- No marketing or tracking cookies from third parties are deployed.
Legal Basis:
These cookies are used based on § 25(2) TDDDG (German Act on Data Protection and Privacy in Telecommunications and Telemedia) and Art. 6(1)(f) GDPR, as they are technically essential to provide the service explicitly requested by the user (participation in the survey).
4. Processing of Survey Data
The specific personal data processed depends on the nature and objective of the respective survey.
Option A: Anonymous Surveys
If a survey is explicitly designated as an anonymous survey, your answers will be saved without any link to your identity.
- No link is established in the database between your answers and your IP address or any access tokens.
- Please note: In this case, please ensure that you do not enter any personal details in open-ended text fields that could reveal your identity.
Option B: Non-Anonymous Surveys (with Personal Reference)
For certain surveys, collecting personal data is required (e.g., for customer feedback, employee surveys, project evaluations, or if you provide contact details for follow-up inquiries at the end). The following data may be processed:
- Master data (Name, Company)
- Contact details (Email address, Phone number)
- Content-related answers and evaluations within the survey
Legal Basis for Processing:
- Consent (Art. 6(1)(a) GDPR): If you participate voluntarily in a survey and have granted your explicit consent beforehand.
- Performance of a contract (Art. 6(1)(b) GDPR): If the survey is part of a contractual obligation or project collaboration with Machwürth Team International GmbH.
- Legitimate interests (Art. 6(1)(f) GDPR): For the continuous improvement of our corporate training, consulting services, and business operations.
5. Data Retention and Deletion
We process and store your personal data only for the period necessary to achieve the purpose of processing, or as required by statutory retention periods (e.g., commercial or tax law obligations).
- Survey Data: Will be deleted once the final evaluation is complete and the respective project is concluded, unless contractual or statutory obligations require further retention.
- Server Log Files: Are automatically deleted or anonymized according to the standard retention schedules of our hosting provider Strato (typically within a few days to weeks).
6. SSL or TLS Encryption
For security reasons and to protect the transmission of confidential content (such as your survey responses), this website uses SSL/TLS encryption. You can recognize an encrypted connection by the change in the browser's address bar from "http://" to "https://" and the lock icon in your browser bar.
